Manage branches

Start in Branch Overview to check branch activity. Open Branches to create a branch, manage administrator invitations, allocate quota, or change active status.

  1. Open Branch Overview.

  2. Under Summary, check Total Candidates, In Review, Total Interviews, and Hired.

  3. Review Branches needing attention. Select View full Branch Report to open the report.

  4. Under Branch Report, set Month, Year, Area, or Search branch or job title. Then select Apply filters.

  5. To download the report, select Export XLSX. Choose all branches, filtered results, or selected branches. Export requires the permission to view branch statistics and contains aggregate data without applicant identity fields.

When no branch exists, Manage Branches opens the management page.

Create a branch and invite its administrator

You need the permission to manage branches. The access-level editor lists it as branches.manage.

  1. Open Branches, then select Create Branch.

  2. Enter Branch Name, Branch Code, Branch Slug, Area, and Admin Email.

  3. If the branch needs the headquarters screening templates, select Copy CV Playbook Templates from HQ. This option copies CV Playbook Templates, not AI interview configuration. Copying does not happen when the branch is created. Aivident waits until the branch administrator accepts the invitation.

  4. Select Create Branch.

  5. Read the delivery result. If email delivery failed, select Copy setup link and send the link through an approved channel.

An active branch can show these invitation actions, depending on its state:

  • Resend invite attempts email delivery again.
  • Copy setup link copies a link for manual delivery.
  • Regenerate invite can correct the email address and invalidates the old link.
  • Revoke invite revokes the current invitation.

Import also requires the permission to manage branches.

  1. In Branch Management, select Download Template.

  2. Enter synthetic or approved branch data. Save the file as XLSX without changing the column names or order.

  3. Select Import Branches, then upload the file.

  4. Review the preview. Previewing does not create a branch.

  5. Correct every row that needs attention, then upload the file again.

  6. When every row is correct, select Confirm and create {count} branches.

  7. In Branch import result, check branch creation, invitation delivery, and template-copy results separately. Use the branch invitation controls to handle a delivery failure.

The import option Copy HQ CV Playbook Templates to all new branches also copies only CV Playbook Templates and waits for each branch administrator to accept the invitation.

You need the permission to allocate branch quota. The access-level editor lists it as branches.allocate_quota.

  1. On an active branch, select Allocate quota.

  2. In Edit Quota Allocation, set Application screening, Interviews, Document Analysis, and Video Analysis.

  3. To remove a limit, select Unlimited.

  4. Keep the total allocation across branches within the headquarters pool. A branch cannot have an unlimited allocation when the headquarters has a cap.

  5. Select Save Quota. The change applies immediately.

You need the permission to manage branches.

  1. On an active branch, select Deactivate branch.

  2. Read the warning that the action can be reversed and branch users will lose access. The warning matches the action.

  3. Select Deactivate.

  4. To restore access, show inactive branches, then select Reactivate branch and Reactivate.
