Get started: Dashboard and Company Setup
This guide is for recruiting team members who have just signed in to Aivident Hire. At the end you will know where your day starts, how to pick up saved work or start a vacancy, what Company Setup asks of you, and how to find any page.
Why you start on the Dashboard
Section titled “Why you start on the Dashboard”The Dashboard is the one page that tells you what waits on you today. The oldest waiting work comes first, so nothing sits unseen. From here, or from Jobs, you can start a vacancy, reopen a named draft or open the application that needs you.
A first-time user does not have to finish setup before hiring. Setup counts as complete when the required results exist, not when someone has visited every page. For the whole hiring process, read How Aivident Hire works.
Before you start
Section titled “Before you start”- Access: what you see depends on your access level and your company’s plan. If your access cannot create vacancies, the Dashboard says so and shows no create button.
- Saving setup: anyone can read Company Setup. Saving its stages needs administrator access, and each stage says so where it refuses.
- Nothing to prepare first: an empty Roles library and an empty Competency Bank do not block your first vacancy.
Read your day on the Dashboard
Section titled “Read your day on the Dashboard”Choose Dashboard at the top of the sidebar. The page heading also reads Dashboard, with your company name and the date.

When more than three items wait, the queue shows the three oldest first and tells you so. View all adds the count in brackets, and Show fewer folds the list back.
If your access is view-only, drafts show View instead of Continue.
A company with no vacancies yet sees a card, Start your first vacancy, with a Create vacancy button, if your access can create vacancies. The draft, setup and vacancy count sections appear once the first vacancy exists.
When the Dashboard cannot read something
Section titled “When the Dashboard cannot read something”A failed read is never shown as an empty queue. Each part of the page says when it could not load, and keeps a way to try again.
- Queue: the queue shows a reason and a Reload button, and lists no items. The line “Nothing needs your attention right now.” only appears after a successful read with nothing waiting.
- Drafts or vacancy counts: the card says it could not load and offers Try again.
- Setup progress: the card says the progress could not be read. It does not show a number.
Resume or start hiring
Section titled “Resume or start hiring”-
To act on waiting work, choose the action on its row under Needs your attention. Aivident opens that record. Opening it changes nothing.

To pick up a draft, choose Continue under Continue your draft. The vacancy opens as you last saved it.

To start a new vacancy, choose Create vacancy at the top right of the Dashboard. You can also go to Jobs and choose Create vacancy. Both open the same vacancy writing page. Follow Write a vacancy from there.
Use Company Setup
Section titled “Use Company Setup”Company Setup walks you through telling Aivident who your company is and preparing your first role and posting. Open it from Settings, then Company Setup. The page heading reads Company setup.
What it asks
Section titled “What it asks”The page lists six stages, in order:
- Your organization: name, logo, industry, size and city. Aivident drafts the fields from material you paste or upload, and saves only after you review each value.
- Your first role: the job description and job specification for the Role you are hiring for.
- Evidence and approval: what the role requires, and the approved version that locks it.
- Hiring stages and intake: the stages an applicant walks and the form they answer.
- Your company page: your public careers address, headline and story.
- Your first posting, live: one vacancy that Candidates can open.
Each stage shows a status: Not started, In progress, Done, Cannot be read or Not on your plan. Its button reads Open, “Pick up where you left off” or Review. When nothing has been started yet, the page offers Start with your organization. Two shortcuts at the top, Prepare or resume a role and Review publication, open the role and publication stages directly.
What is optional
Section titled “What is optional”- The logo is optional. The organization stage does not wait for it.
- A stage your plan does not include shows Not on your plan and leaves the count. Nobody in your company is asked to finish it.
- The list of related settings at the bottom of the page counts nothing.
- Nothing you write becomes public until you publish from Career Portal settings.
How progress is counted
Section titled “How progress is counted”The Dashboard’s Setup (optional) card shows confirmed items out of the items that apply to your company’s plan. A draft or an item that needs review is not confirmed, so it does not count. Optional items never lower the number. An item that could not be read is not counted as unfinished, and the card names it.
Leaving a stage, or never opening it, does not raise the percentage. Only saved results count. Progress is read from what is saved every time, so you can leave at any point and come back through Company Setup, Continue setup on the Dashboard, or “Pick up where you left off” on a stage.
Ask Aivident
Section titled “Ask Aivident”Ask Aivident sits under Jump to anything at the top of the sidebar, on every signed-in page. It opens a panel about the page you are on.
- Listed questions: the panel offers questions for the Dashboard, a vacancy’s applicant board, an applicant’s own page, a role page, Career Portal settings and Analytics. Other pages offer one question about what the page is for.
- Answers from this page: each answer is computed from the records the page has loaded. If the page has not finished loading, the panel says it has nothing to read rather than guessing.
- Typed questions: the panel’s own box does not answer free questions yet. It asks you to pick a listed question. A vacancy page has a separate Ask Aivident box under Setup help that answers a typed question about that vacancy and links to the setting to change.
- Proposes, never acts: Take me to… only opens a page. Draft it for me writes a draft for you to read. Aivident sends nothing and changes nothing; the send button stays on the person’s own page.
- Not for Candidates: careers pages, application and interview pages, invitation pages and approval links have no Ask Aivident door.
Find your way around
Section titled “Find your way around”The sidebar
Section titled “The sidebar”The top of the sidebar holds Jump to anything (⌘K or Ctrl+K), Ask Aivident and Dashboard. Below them, the doors sit on three shelves. A shelf name is a group, not a page.

The doors you see depend on your company’s plan and your access level. Recruiters and hiring managers open on their most-used doors and keep the rest behind a More line.
Below the shelves, a folded line counts the stages your company has not bought, for example “4 stages not in your plan”. Open it to see each stage. Onboard, Develop, Perform and Succession read Not in your plan, and Insight reads Exit ships inside Hire. None of them opens anything.
Settings opens a drawer on four shelves:

Before your company’s first posting is live, and while it has no vacancy, the sidebar is smaller. It shows Dashboard, Company Setup with its percentage, and Settings, and ends with the line More doors open when your first posting is live. The full sidebar returns once a vacancy exists or the first posting is live.
Jump to anything
Section titled “Jump to anything”Choose Jump to anything, or press ⌘K on a Mac or Ctrl+K elsewhere. Type a door, a person or a question. The results list Help first, then Doors, then People. The Ask Aivident row always leads the list, and while setup is unfinished a continue-setup row shows its percentage. Use the arrow keys to move, Enter to open and Esc to close. The palette only offers doors your sidebar would show.
What the product does not do here
Section titled “What the product does not do here”- Opening the Dashboard, a queue row or a draft changes no record.
- Company Setup does not publish anything. Publishing is a separate decision in Career Portal settings.
- Ask Aivident does not send messages, move applicants or save settings.
