Manage members, access levels, and permissions

Create an invitation link, then send the link to the prospective member yourself. The organization invitation control does not send email.

Every authenticated organization member can open Team Activity. The feed can show Candidate names, vacancy titles, screening scores, and interview scores. This access applies to organization members, not only administrators.

You need the permission to invite members. The access-level editor lists it as members.invite.

  1. Open Settings, select Organization, then open Members.

  2. Select Invite Member. The dialog opens as Invite Team Member.

  3. Enter the Email address, choose an Access level, and enter a Message (optional) if needed.

  4. Select Send Invitation. The control changes to Sending… while Aivident creates the invitation record. No email is sent.

  5. Find the new invitation under Pending Invitations.

  6. Select Copy invite link. Send the copied link to the prospective member through an approved channel.

  7. Ask the prospective member to open the link with the same email address as the invitation.

Revoking an invitation needs the same permission to invite members.

Under Pending Invitations, select Revoke invitation for the correct invitation.

You need the permission to remove members. The access-level editor lists it as members.remove.

  1. On Members, find the member to remove.

  2. Select Remove member.

  3. In Remove {name} from the organization?, confirm that you selected the correct member.

  4. Confirm removal. If the person needs access again, create a new invitation and share its link manually.

An access level is the set of permissions a person holds in your company. It is not a hiring Role. To create or change an access level, you need the permission that the access-level editor lists as members.update_role.

  1. Open the Roles tab. The tab still carries this older name, but the panel it opens is headed Access levels.

  2. Select Manage access levels to open the Access levels page.

  3. Select Create custom access level, enter a name and color, then select Create. The new access level has no permissions.

  4. Open the new access level. The page shows Permissions and localized category headings.

  5. Select the required permissions. Each option uses a raw identifier such as members.update_role in both languages.

  6. Select Save Permissions.

  7. Reopen the access level and check every selection. Saving removes the old permission set before inserting the new set. If saving fails between those operations, the access level can have no permissions.

To copy an existing configuration, select Duplicate on a custom access level. The copy keeps the source’s hierarchy level, color, and permissions.

You need the same members.update_role permission.

  1. Move every member out of the access level that you plan to delete.

  2. Check Pending Invitations. Revoke or replace invitations that use the access level.

  3. On Access levels, select Delete on the custom access level.

  4. Confirm Delete this access level? There is no restore action for the access level, its permission assignments, or the invitations deleted with it.
